Apprenticeship Units have arrived – and Onefile already has you covered | Onefile

Apprenticeship units, bite-size courses designed to tackle skills shortages in areas of critical skills need, have arrived.

Launched in April 2026, they are based on existing apprenticeship occupation standards, but can be delivered much more quickly, upskilling staff in specific, targeted areas. They are not full apprenticeships.

And, while these fast-track programmes clearly offer many benefits, they also bring a fresh set of challenges for further education colleges and other training providers.

Fortunately, if you’re with Onefile, running apprenticeship units alongside your main training programmes won’t be an issue. Onefile already has the baked-in functionality to ensure the units’ seamless integration. So, while other providers are left playing catch up, Onefile customers hit the ground running.

What are apprenticeship units?

Put simply, apprenticeship units are short, flexible training programmes for employees that typically take from one to 16 weeks to complete. The UK government has introduced them to tackle serious skills shortages in key areas of need, including AI strategy, electric vehicle charging point installation and maintenance, solar PV installation and maintenance and battery manufacturing.

Training providers offering these programmes must adhere to the apprenticeship unit funding rules and hold a valid funding agreement. Only those organisations who are on the APAR list and have been approved to deliver specific units will qualify for the funding.

All units must be delivered by tutors, with tutor and learner together, virtually or in person. Learning must take place during normal paid working hours, and it must teach new knowledge and skills which relate directly to the unit.

What apprenticeship units mean for providers

Apprenticeship delivery is forever changing, which means that training providers must be ready at all times to adapt to new ways of doing things.

For employers, flexibility and the option to upskill employees in as little as 30 to 140 hours, is welcome – especially in such rapidly developing sectors as AI and clean energy.

But, meeting the needs of employer and learner quickly, compliantly and effectively, presents training providers with operational and compliance challenges. When delivering apprenticeship units, they must, for example, be able to:

  • Track multiple components alongside a main apprenticeship programme
  • Evidence learners’ progress and measure achievement
  • Ensure compliance without increasing the admin involved
  • Keep learning simple and intuitive
How Onefile can help you deliver apprenticeship units

As the leading learner management platform – Onefile was the first Edtech organisation to launch an Eportfolio – we’ve been adapting to changes to apprenticeships for more than 20 years. We’ve worked closely with the sector since 2005, supporting training providers like you to navigate revised funding rules, reforms to quality expectations, updated systems and new course delivery methods.

This means, that unlike most platforms who are still adapting, Onefile can:

  • Run apprenticeship units alongside a learner’s main apprenticeship. Units can be set up so that they sit parallel with the learner’s primary programme, removing the need for any workaround or custom development.
  • Track progress in real time. Each unit benefits from the same robust tracking as full apprenticeships, incorporating progress monitoring, activity tracking, evidence collection, reviews and feedback.
  • Capture outcomes and achievement. Units can have clearly defined outcomes, allowing you to evidence completion and demonstrate progression in a structured, compliant way.
  • Maintain full compliance. Because additional aims functionality is fully integrated into Onefile’s ILR and reporting capabilities, apprenticeship unit delivery aligns with funding and audit requirements without duplication of effort.
  • Keep the learner experience seamless. From the learner’s perspective, everything they need is contained in a single portfolio. There is no fragmentation, just a clear, structured picture of where they are on their learning journey at any stage.
Ready now, not later

As the skills training sector responds to the arrival of apprenticeship units, some providers might find themselves waiting for system updates or the introduction of new functionality.

But with Onefile, there’s no need to wait. You’re already fully prepared – agile and good to go.

Our platform is designed to handle:

  • Multi-component programmes
  • Parallel tracking structures
  • Outcome based progression
  • Compliance ready reporting

In short, you can start delivering apprenticeship units immediately and with complete confidence.
