How Onefile transformed training delivery and compliance

The Challenge

In 2010, Sussex Police faced a familiar challenge: managing apprenticeship training through traditional, paper-based systems. This approach was time-consuming, resource-heavy, and required frequent in-person meetings to review learner portfolios. As the organisation expanded its training provision, it became clear they needed a more efficient, scalable solution that could support both learners and assessors while meeting the strict compliance demands of a regulated sector.

The Solution

Sussex Police adopted Onefile to digitise their apprenticeship delivery. While there was some initial hesitation, the platform quickly proved its value.

Tutors and learners could now access portfolios remotely, reducing the need for travel and enabling real-time feedback and progress tracking. Karen Hanna, IQA, AET AVT Coordinator, and Onefile Centre Manager, praised the platform’s user-friendly interface and powerful reporting tools, which helped meet compliance requirements for Ofsted and Skills for Justice.

Onefile also supported flexible course structures, including both 1-year and 3-year programmes, and enabled seamless collaboration with Higher Education Institutes. Features like tutor reassignment and task transfers ensured continuity even when staff changed.

“I would recommend Onefile without fail; I wouldn’t have a job without it.”

Karen Hanna, IQA, AET AVT Coordinator & Onefile Centre Manager

The Impact

  • Improved accessibility: Learners could access their portfolios anytime, anywhere — a major boost for engagement and retention
  • Time and cost savings: Reduced travel led to significant savings on fuel and time, freeing up resources for other priorities
  • Real-time tracking: Enabled proactive learner support and helped avoid compliance penalties during breaks in learning
  • Enhanced data security: Onefile’s robust security reassured stakeholders handling sensitive police data
  •  Operational flexibility: The ability to assign additional tutors or transfer tasks ensured smooth delivery without disruption
  •  Sector-wide influence: Sussex Police’s success with Onefile has inspired other forces, like West Midlands Police, to adopt the platform

“Onefile is helpful rather than a hindrance in terms of learner retention. Learners like that they can access it from home.”

Karen Hanna, IQA, AET AVT Coordinator & Onefile Centre Manager
