Enrolment: Helping colleges get ready for the new academic year

As learners collect their GCSE and A level results - or their N5 and Highers results in Scotland - further education colleges and other training providers are preparing for enrolment, their busiest administrative time.

According to latest UK figures, around 1.8 million people enrol at college each year as students of all ages look to gain new skills and qualifications, progress to university, improve their employment chances or advance their careers.

And, whether they are school leavers applying for full-time courses or apprenticeships, or adults wanting to study part-time or pursue higher education, September's intake of students will find so many learning opportunities available to them.

To simplify the whole application and enrolment process, FE colleges and other training providers can provide prospective students with plenty of information - online and in person - outlining the courses and programmes and how to apply.

Guidance includes details about college open days and evenings, how to access student services and where to look for careers advice online such as the https://nationalcareers.service.gov.uk and https://www.apprenticeships.gov.uk/apprentices/about-apprenticeships so students are aware of all their options.

Enrolling learners online

Processing applications is so much quicker and easier now that applicants can enrol online.

Onefile's Enrol allows colleges and other training providers to manage every stage of the enrolment process remotely, saving precious admin time and money while ensuring compliance.

With Enrol you can:

  • Use the form builder to create templates using different field types to build quality forms.
  • Collect compliant data from ESFA, The Education and Skills Funding Agency responsible for funding education and skills.
  • Track which forms are pending, awaiting approval or completed.
  • Build records for all your learners, employers and courses, so enrolment data is easy to navigate and securely stored in one place. Enrol will prompt you to fill in required fields - such a Date of Birth, employer details and unique learner numbers - so that all data is complete, correct and convenient to access.
  • Transfer data directly to the eportfolio. You can instantly convert successful applicants into learners by transferring their records directly to the eportfolio in one click. Simply select from the centres, classrooms and assessors assigned to you. Data is transferred automatically, saving you time and helping avoid data entry errors.

Staff involved in enrolment will use Enrol often and regard it as their go-to system. Most applicants though will only go through the process once so Enrol has been designed to make sure everyone finds it user-friendly.

To complete the enrolment form, applicants and employers simply click the link in their email, then data is automatically sent back to the system for approval.
