Learner inclusion: How Onefile already helps providers give learners additional support

As you’ll know, the way in which Ofsted evaluates support for vulnerable and disadvantaged learners has been changed.

Following an overhaul of Ofsted’s Inspection Framework last November, inclusion is now treated as a standalone area in inspections, not just a peripheral element included within personal development and wellbeing.

Of course, good training providers already fully commit to inclusion and do all they can to make sure learners who need extra support are receiving it. But, to ensure that commitment is evaluated effectively, providers too need support.

Recognising that every learner is different

Onboarding

Providers need to know what additional support a learner might require right from the very beginning of their learning journey.

During enrolment, Onefile’s Onboarding Portal collects this vital information, enabling providers to capture a learner’s disability, learning difficulty, or health problem (LLDD) in a structured and compliant way.

This information:

  • Is collected at the point of application or enrolment
  • Flows automatically into Tracker ILR and Eportfolio, ensuring consistency across systems
  • Reduces manual rekeying and the risk of data discrepancies
  • Supports accurate ILR reporting and funding compliance

Onefile’s Onboarding Portal ensures that a learner’s support needs are identified early and are visible to the right teams from the outset.

Customisable Forms and Sensitive Data Controls

Personal information about a learner’s health and wellbeing must be handled sensitively and meet GDPR rules.

With Onboarding, providers can collect additional inclusion-related information through configurable, user-defined fields, allowing them to tailor forms to align with their own inclusion policies and local requirements.

Crucially, sensitive information can be controlled through visibility settings:

  • Fields or forms can be hidden from certain recipients or roles (e.g. employers)
  • Access can be restricted to authorised roles only
  • Sensitive learner data is handled securely and appropriately

These measures support safeguarding, confidentiality, and GDPR compliance while still enabling providers to gather meaningful inclusion data.

Early Identification and Support Planning

By embedding inclusion data capture directly into the enrolment process, Onboarding helps providers:

  • Identify additional support needs at the earliest stage
  • Ensure reasonable adjustments are planned proactively
  • Create a smoother transition into delivery and assessment
  • Evidence inclusive practice for inspection

Special Requirements

Every learner’s Eportfolio entry contains a Special Requirements panel, which includes a flag to indicate if they have any special requirements.

Details of any special requirements can also be recorded in the panel, highlighting any specific learning needs or adjustments upfront. This timesaving, user-friendly feature means tutors and support staff can quickly see if there’s anything they need to be aware of. They don’t need to go trawling through different parts of the system first.

Recording Ethnicity, Sex and LLDD / Health Information

Onefile’s Eportfolio also lets providers record key demographic and support related information for each learner, including ethnicity, sex and LLDD (Learner Learning Difficulty and/or Disability) and health condition

These fields help providers build a clearer picture of each learner’s background and support needs.

Custom Data Forms for ALS and Learner Needs

Our tools reduce the amount of admin involved in learner support and allow files to be tailored to a provider’s own requirements.

Providers can build their own Custom Data Forms to record anything related to Additional Learning Support (ALS), learning needs, medical conditions, barriers to learning or recommended adjustments.

And, because these forms are fully reportable, providers can:

  • Track patterns across groups or programmes
  • Keep a history of how a learner’s needs evolve
  • Export information for audits or inspections

Many providers rely on these forms as their main inclusion records because they can be customised exactly to their needs.

Private Notes, Now with Categories

It is absolutely essential that private learner information is protected at all times, which is why Eportfolio includes a Notes feature. This is commonly used to record sensitive or confidential information which:

  • Is not visible to the learner
  • Can only be accessed by authorised staff
  • Can be categorised, making it easier for support teams to organise, filter, and reference.

This functionality is particularly valuable for documenting welfare concerns, contextual background, or any information that must be recorded discreetly without being shared with the learner.

Private notes can form a meaningful part of an inclusive learning workflow, provided they do not contain information a learner would need to participate, progress, or receive fair treatment.

Evidence Uploads

Using Eportfolio, providers can upload documents such as support plans, diagnostic assessments, EHCP extracts and workplace adjustments

This helps them build a complete picture of the learner’s needs and demonstrate what’s been put in place to support them.

Journals, Session Notes and Activity Comments

Tutors can record ongoing observations and notes that relate to a learner’s inclusion, such as:

  • How well a learner is engaging
  • Any challenges identified during sessions
  • Adjustments they’ve used
  • Early signs of barriers developing

This gives providers a clear, time-stamped record of their support. Journal entries and specific journal fields can also be categorised using the timesheets to help group information into relevant areas.

Regular Reviews

Reviews are one of the most valuable touchpoints for inclusion. Providers use them to:

  • Revisit learner needs
  • Capture learner voice
  • Gather employer input
  • Monitor progress and engagement
  • Update targets or support strategies

Everything is logged in one place, which is great for both quality assurance and inspection preparation.

Providers can also make use of custom forms within the review. These are especially helpful when they need to capture specific, structured information, for example, ALS details or other inclusion related data.

Tasks and Actions

Providers can set targeted actions linked to a Teaching, Learning and Assessment Plan, such as using assistive tools, attending support sessions, or completing a virtual course. A meeting or visit can then be scheduled to review progress on these tasks over time.

Engagement and Progress Monitoring

Because Eportfolio tracks progress and submission activity, staff can spot early warning signs that a learner might be struggling, such as low engagement, missed deadlines, or falling behind schedule. Such signs often act as an early trigger for intervention.

Employer Input

For work-based learners, employers can comment on reviews, upload evidence, and confirm adjustments being used in the workplace. This helps create a joined-up approach to supporting learners across all settings.

Reporting Across All Inclusion Touchpoints

Providers can report on:

  • Special Requirements
  • ALS and other custom forms
  • Review completion
  • Progress and engagement trends
  • (Where appropriate) categories of Private Notes

This gives leadership teams a better view of where support is working well and where additional attention might be needed.

Cognassist Integration

Cognassist is a valuable tool that assesses learners who are neurodiverse and supports their personalised learning strategies.

It's integration with Onefile allows training providers to create learners in Cognassist directly from Onefile, send assessment invitations, and automatically track completion. A learner’s cognitive assessment results appear directly inside their portfolio once matched. This lets providers proactively identify any potential learning needs, rather than waiting for a formal diagnosis.

Management Reports

Onefile’s support for learners needing additional help is also available via our ILR (Individualised Learner Record) Tracker.

Management reports within this feature gives instant feedback on key information across the learner journey from enrolment, potential breaks in learning, restarts, withdrawal and achievement. This data is automatically broken by demographic, offering a clear picture of how different groups are performing – and highlighting areas where learners may need extra support to achieve their goals.
