Onefile Inclusion module: Supporting providers through Ofsted and beyond

Ofsted’s decision to make inclusion a standalone area of its reporting framework has undoubtedly brought far-reaching changes for training providers and assessors.

Under the revised metrics, providers must be able to show Ofsted inspectors clear evidence of the extra help and support they give to disadvantaged learners.

And, to satisfy these updated requirements, that proof must be structured and easily accessible. Inclusion, and how it is evidenced, is integral to an Ofsted report – it’s no longer a bolt-on extra that’s nice to have.

To make sure providers were ready for Ofsted’s changes well ahead of their introduction in November 2025, Onefile took proactive steps, developing the new Inclusion Module which sits conveniently within Onefile’s Eportfolio.

Onefile Inclusion Module

Historically, information relating to learner support was fragmented and often held in various different locations within separate folders, files and spreadsheets.

This was a major headache for many providers, so having a system which is so well organised, simple to set up, configure and access has, say Onefile customers, given them greater peace of mind.

To help providers prepare for the new framework – and demonstrate how Onefile can assist and support – we’ve run several highly informative webinars on Inclusion in recent months. Our initial events – featuring presentations from the FE sector – looked at what’s changed, how providers are affected and how tutors, trainers and assessors can ensure Ofsted’s objectives are being met.

More recently, to coincide with July’s official launch of our Inclusion module, we’ve also run webinars exploring how Inclusion works, providing a detailed product demo and walk-through of its many smart, sophisticated yet user-friendly features.

These sessions were well received and, as with any new major development, they’ve prompted a lot of questions from existing customers and non-Onefile users alike. Matters around the module’s confidentially, learner support funding, implementation and visibility are, as we would expect, key recurring themes.

Confidentiality, data security and visibility

Supporting learners with additional needs presents its own set of unique challenges. Individuals who for example, have an EHCP, were in the care system or were previously NEET (Not in Education, Employment are Training) might not want their personal information to be seen by their employer.

To address this, Onefile’s Inclusion module is configured in such a way that learner data can be withheld from a specific audience. The Employer model can be set to No Access, Read Only or Read/Write. Additionally, individual barriers, support needs and support plans carry Visible to Learner and Visible to Employer settings.

Similar rules around visibility, security and confidentiality apply to the module’s data held in the cloud. Access is layered; users must have permission to look at a relevant area, and they will only be able to see learners who are already in their existing Eportfolio.

Supporting learning funding

As everyone operating within the skills and training space knows, it is imperative that all data relating to funding is recorded accurately and submitted in good time. If it isn’t, providers and employers can risk losing vital government funds.

To remove the risk of errors and delays when claiming learning support funding, Onefile’s Inclusion module has been built with these potential pitfalls front of mind. The Support Delivery tab in the module records all timesheets flagged as support delivery, including who delivered the support dates, duration and a description. This tab sits alongside the support plan with signatures, uploaded evidence of need, support review, ILR monitoring codes and a full activity log.

Cognassist integration

An integration between Cognassist and Onefile already links neurodiversity and cognitive assessment tools directly into the Onefile Eportfolio, allowing providers to create learner profiles, send assessment invites, track progress, and view scores all in one place. This valuable feature will be made available within the Inclusion module in a future product release.

Using Inclusion Day to day

Supporting learners of all abilities to achieve successful outcomes is a huge responsibility for all training providers. So, using a module which has the functionality to save time and hassle is of notable benefit for busy tutors and college support staff.

For example, barriers to learning are already in the module so providers don’t need to add this information themselves. The module is pre-populated with a default set of barriers, support need types, reasonable adjustments, learning styles and additional characteristic and support types – all fully configurable.

Wellbeing checks are also central to ensuring good outcomes and preventing non-completions. With Inclusion, providers receive an alert so the immediately know when a time- critical response is required. Response options are assigned a severity rating when building a template and any responses marked Critical generate a notification. Notifications of non-critical completions are not included in this release, but they are recorded in the Eportfolio activity log.

Ofsted’s radical changes are only just being rolled out, but it is critically important that all colleges and other training providers are fully aware of inclusion and how to evidence it correctly.
