How Portsmouth NHS Streamlined Training and Saved Time with Onefile

The Challenge

Before using Onefile, staff had to transport paper-based portfolios to and from the hospital, making it difficult to work in peace and quiet or outside the workplace. Finding a solution that worked for a wide age range of users – from 16 to 50 years old – was also a priority. 

The Solution

Portsmouth NHS Trust started using Onefile for the assessor award in 2016 and now uses it to manage a full range of courses for new apprentices and existing staff, including level 3 assessor competence, level 2 healthcare support services, level 2 lab services and level 2 pharmacy service skills. 

Onefile allows staff to access learner information and portfolios anywhere, saving time and making it easier to concentrate. Assessment plans can now be created for any activity online, and feedback can be given on individual pieces of evidence. Reviews help monitor progress on individual units and overall, while journals record any issues. Reports offer huge potential for tracking and analysis. 

The pharmacy department promoted Onefile throughout the hospital after positive experiences with assessors and IQAs.  

The Impact

Onefile has saved staff significant time and made inspections easier. During SV visits, inspectors found the system easy to use and praised the accessibility of learner evidence. Preparing for visits is also quicker because portfolios were available at all times. 

Staff found Onefile much easier than expected once they engaged with the system. The ability to work remotely, plan assessments online, and monitor progress has transformed the way Portsmouth NHS manages training.
