How Hertfordshire Fire & Rescue Streamlined Training and Quality Assurance with Onefile

The Challenge

Hertfordshire Fire & Rescue needed a solution that was easy to use for all users – learners, assessors, IQAs and external verifiers. They started using Onefile in 2012 and now rely on it to track NVQs for firefighters, crew commanders and assessors’ qualifications. They also use Onefile to record and track competence for station commanders.

The team chose Onefile because of its simplicity and user-friendly design.

The Solution

Hertfordshire Fire & Rescue uses plan templates extensively, uploading assessment plans into templates and completing assessments within them. They are also exploring how to use forms more effectively in the future. Centre managers find the overviews particularly useful for QN and QA purposes.

The organisation runs a range of easy-to-use reports, including:

  • District reports to track progress
  • Assessment plans to ensure consistency
  • Activity logs to monitor access

Gap analysis is another valuable feature, helping learners and assessors see what remains to be completed.

Onefile also supports their inspection process. During an Standards Verifier (SV) visit last year, the SV found Onefile very easy to use and reported that it helped them access learner accounts to check progress. The reporting suite is especially useful for quality assurance processes, and the general ease of use benefits learners and assessors alike. While some users initially found the system challenging, technical support advisors were always helpful and responsive.

"Onefile is easy to use in any location. Plus, there are no issues surrounding losing data like there are if a paper portfolio was lost."

The Impact

Moving from paper to an Eportfolio has delivered significant benefits. Onefile is easy to use in any location and eliminates issues like lost data associated with paper portfolios. It also reduces the likelihood of malpractice, as activity within the system is easy to track. For example, only an assessor can upload an observation, making information secure and traceable.

Quality assurance processes are easier to manage as IQAs, and audits can be completed remotely. Reports from the system aid tracking, saving time and hassle. Hertfordshire Fire & Rescue recommends Onefile for its simplicity, reliability and efficiency.
